Most chart data consists of an entire range of cells, but it’s sometimes necessary to chart only a portion of a range. If you have stock data, for example, you may want to visualize only a particular 7-, 14-, or 30-day portion of the data. If the chart doesn’t exist yet, just select the portion of the range you want to work with and then insert the chart. If the chart already exists, there are two methods you can use to adjust the data series:

Click the chart and then choose Design, Select Data to open the Select Data Source dialog box. For the value range, click the Edit button in the Legend Entries (Series) section to display the Edit Series dialog box, adjust the Series Values reference, and then click OK. For the categories, click the Edit button in the Horizontal (Category) Axis Labels section to display the Axis Labels dialog box, adjust the Axis Label Range reference, and then click OK.
Click the chart, click any point in the data series, and then adjust the range references used in the SERIES() function that displays in the formula bar. I explain the function as follows.

Here’s the syntax for the SERIES() function:

SERIES([name,][ category_labels,] values, order)

name	A string or cell reference that specifies the series name.
category_labels	The range that holds the labels that display on the category (X) axis. If you omit this argument, Excel uses consecutive integers as labels.
values	The range that holds the values that Excel plots.
order	The plot order for the series.

When you share a document with another person, you usually turn on revision marks, so that you can see the changes the other person makes. Unfortunately, it often happens that the other person accidentally turns off revision marks before or in the middle of editing so that you can no longer easily see the changes he made. In the past, this meant opening the two versions and then switching from one window to another or trying to arrange the docÂuments, so that you could see both at once.

Word 2007 helps you avoid this extra work by offering a new View Side By Side feature, which arranges the document windows so that you can easily compare the two files. Here’s how it works:

Open the two documents you want to compare and make one of them the active docuÂment.
Choose View, View Side By Side. Word displays the Compare Side By Side dialog box.
Click the other document you want to use and then click OK. Word arranges the two windows side by side, as shown in Figure 1.

NOTE

The View Side By Side feature includes synchronous scrolling, which means that as you scroll up or down (or even side to side) in one document, Word scrolls in the same direction and by the same amount in the other document. If you find this distracting, you can turn it off by choosing View, Window, Synchronous Scrolling.

By default, bar chart data markers use a solid fill. That’s usually the effect you want because a solid fill makes it easier to compare markers and analyze the data presented in the chart. On the downside, solid-fill data markers don’t compare well when printed on a black-and Âwhite laser printer, and they are, well, dull. For a different twist to your bar charts, you can replace the data markers’ solid fills with graphic images, such as clip art pictures or graphics files on your computer. By default, Excel stretches the image according to the number that the marker represents. This tends to distort most images, so it’s better to stack the image, which means that Excel uses multiple copies of the original image to fill in each data marker. (The bigger the marker, the more copies Excel uses to create the stack.)

Here are the steps to follow to stack a picture as a bar chart data marker:

Click the data series to select it.
Choose Layout, Format Selection to display the Format Data Series dialog box.
Click the Fill tab.
Click the Picture of Texture Fill option.

Saving a presentation to the Web (as described earlier, see “Publishing a Slide Show to the Web”) is a great way to enable nonPowerPoint users to see your material. However, this isn’t a perfect solution. For one thing, your user might not have access to the Web when he wants to view your presentation (a person might be on a plane, for example). For another, the Web version of a presentation never looks as good as the original, so much of your forÂmatting work is lost, which can detract from your message.

To create a version of your presentation that non-PowerPoint users can view without an Internet connection and that appears exactly as you designed it, you need to use PowerPoint’s Package for CD command. This feature takes your presentation and its assoÂciated files and works with your computer’s CD burner to burn the files to a disc. (Note that you can only burn to a CD, not to a DVD.) PowerPoint also includes the PowerPoint Viewer 2007 utility, which enables anyone to view any PowerPoint file (including files creÂated with earlier versions of PowerPoint: 2003, XP, 200, and 97). The CD also comes with an AutoRun feature, so all the other user has to do is insert the CD, and the slide show runs automatically.

Here are the steps to follow to burn a copy of your presentation on a CD:

Choose Office, Publish, Package for CD.
Depending on your presentation, PowerPoint might display a dialog box letting you know that it will convert your files to the PowerPoint 97-2003 format. If so, click OK.

When you plot numeric data, it is useful if you can get an indication on the chart where the average value lies. (I use the average in this section, but you can easily apply the techniques I show you here to other values such as the median or mode.)

Probably the easiest way to do this is to create an entirely new data series where each value is the average of the series you want to analyze. For example, in Figure 1, you see a workÂsheet that has stock closing prices in column B. I’ve added a new column for the average in column C. Here are the steps you need to follow to insert the average values:

Select the entire range into which you want to add the average values (in Figure 1, this is C3:C24).
Type (but don’t confirm) the AVERAGE() function formula, making sure that you use absolute cell references for the data you want to average (in Figure 1, we average the range $B$3:$B$24).
When you are ready to confirm the formula, press Ctrl+Enter. Excel adds the same formula to all the selected cells.

TIP

You can use a similar technique to plot standard deviation lines, which are lines that represent valÂues that are one standard deviation above and below the average. For the values one standard deviation above the mean, press Ctrl+Enter after the formula, as shown in the following:

If you want put your presentation on the Web, you should know that PowerPoint doesn’t include animations when it converts a presentation to a Web page file. This helps improve the performance of the slide show, particularly for users running a dial-up connection. If you want the animations included in your Web page (for example, if you know that most of your users have a broadband connection), you need to follow these steps to set this up:

Choose Office, PowerPoint Options to open the PowerPoint Options dialog box.
Click Advanced.
Click Web Options to open the Web Options dialog box.

If you are in the Save As dialog box and you have selected either the Single File Web Page or the Web Page file type, you can also get to the Web Options dialog box by clicking Publish and then clicking Web Options.

A common business scenario involves creating an overall design for a document, filling in some standard text, and then leaving a few sections blank for other users to fill in. In a company report, for example, the design and most of the content might be fixed, but it might also have sections in which different departments can enter results, mission stateÂments, goals, and so on. In these situations, it’s crucial that the other users who add their content to the document do not also change the document design or any of the other conÂtent.

The previous two sections showed you how to lock document formatting and prevent untracked changes. You can also designate a document to be read-only (choose Office, Prepare, Mark as Final) so that no changes can be made. However, none of these techÂniques solve the problem of preventing users from editing or deleting parts of a document, while also allowing them the ability to add specific types of content. This is called structured editing, and Word 2007 offers a number of other tools that make it possible.

The first part of structured editing involves setting up regions of the document so that other people can’t edit them or delete them. In Word 2007, you do that by forming those regions into a group. By default, a group cannot be edited or formatted, and you can also configure a group so that it cannot be deleted.

To convert text into a group, select the text and then choose Developer, Group, Group. Word locks the group, although you don’t see anything on screen to tell you this. (This is by design: Your document looks exactly as it did before, so the quality and design of the document is not changed by creating a group.) It’s often handy to include worksheet text in a chart. For example, if the underlying worksheet has a title, you might also want to use that text as your chart title. Similarly, you might have a worksheet value that’s related to the chart, such as an average of the values in a series, and you might want to include that value as part of the chart title or the value axis title. You can simply edit the appropriate chart object’s text by hand to include the value. However, if that value is subject to change (particularly if it’s a

calculated value such as an average), then you need to always update the chart object by hand. Ideally, it is great to use a method whereby the chart text gets updated automatically whenever the worksheet text changes.

In previous versions of Excel, you can do this quite easily by linking a chart text object to a worksheet cell. You do this by selecting the chart text object, typing an equals sign (=) to let Excel know that you want to enter a formula, clicking the worksheet cell containing the text you wanted, and then pressing Enter to confirm the formula. Alas, that easy and straightforward method was dropped in Excel 2007, which now treats chart text objects as pure text boxes that cannot include formulas.

Fortunately, there’s a way to work around this limitation using a bit of VBA code that takes advantage of the fact that chart text objects have a Text property. The idea is that you use VBA to set an object’s Text property equal to the value of a worksheet cell. For example, the chart title corresponds to the ChartTitle object, so you modify the ChartTitle.Text property.

Ever since Microsoft’s belated 1995 realization that the Internet was something big that ought to factor into the company’s plans, it has crammed the Office suite with Net-friendly features and added Office-friendly features to Internet Explorer. The goal has always been to blur the previously hard-edged distinction between here-your computer and your LAN-and there-the Web, FTP sites, and other online locations.

What do you do if you have existing documents, worksheets, and presentations that you want to mount on the Web? Internet Explorer can work in conjunction with Office to disÂplay these files, but all your readers might not have that capability. To make sure anyone who surfs to your site can access your data, you need to convert your files into the Web’s lingua franca: HTML. Fortunately, Office applications make this easy by including features that convert documents from their native format into HTML.

Before you save your presentation as a Web page, you might want to tell PowerPoint which browser or browsers your users surf with because this determines the features PowerPoint uses to render the Web page XML or HTML. For example, if you tell PowerPoint that your users browse with Netscape Navigator 4.0 or later, PowerPoint disables the MHTML format (described in the steps that follow). Choose Office, PowerPoint Options, click Advanced, click Web Options, and then display the Browsers tab. Use the People Who View This Web Page Will Be Using list to click your target browser. Note, too, that you can use the check boxes in the Options list to customize the Web page features.

When you share a Word document, it’s common to turn on the Track Changes feature (choose Review, Track Changes) so that you can see all the edits made by the other person. Unfortunately, it’s easy to turn off Track Changes (either accidentally or on purpose) so you can never be sure whether your document contains any untracked changes.

If it’s important that you track all edits, it’s possible to set up Word to prevent untracked changes and even to enforce this option with a password. Here are the steps to follow:

Choose Review, Protect Document (or choose Developer, Protect Document) and then click Restrict Formatting and Editing. Word displays the Restrict Formatting and Editing task pane.
Click to activate the Allow Only This Type of Editing in the Document check box.
In the Editing Restrictions list, click Tracked Changes.
Click Yes, Start Enforcing Protection. The Start Enforcing Protection dialog box disÂplays.
Type the password twice and then click OK.

If you’re using Word in a Windows domain or an Exchange shop, you can set up portions of a docuÂment as read-only, and you can make exceptions for certain users. In the Restrict Formatting and Editing task pane, use the Editing Restrictions list to select No Changes (Read-only). If you want users to edit only a portion of the document, select that portion. In the Exceptions group, click More Users and then type the usernames or email addresses (separated by semicolons) of the users you want to be able to freely edit the selected portion. In the Individuals list, activate the check box next to each user.

If you or another authorized user need to freely edit the document text, choose Review, Protect Document (or choose Developer, Protect Document), and then Restrict Formatting and Editing to display the Restrict Formatting and Editing task pane. Click Stop Protection, type the password, click OK, and then deactivate the Allow Only This Type of Editing in the Document check box.
