In the previous section, you learned how to hide different parts of an image and then uncover them one at a time using separate exit effects. This was necessary because PowerPoint doesn’t have a feature that lets you animate portions of an image. If you use clip art, however, it is possible to apply animation effects to different parts of the drawing. This is made possible by the fact that most clip art images are actually composed of many separate shapes. In a drawing of a building, for example, the background, exterior shell, windows, and doors might be separate images. These are grouped together to form a single image, but in most cases, you can ungroup the clip art to work with its component shapes directly. For example, you can give each shape a different entrance effect so that the clip art image appears to assemble itself on-the-fly when you click to activate the animation.
Here are the steps to follow to ungroup a clip art image and to apply animation effects to the component shapes:
- Choose Insert, Clip Art, use the Clip Art pane to search for and insert the image you want, and then click Close (X) to remove the Clip Art pane.
- With the clip art image selected, choose Format, pull down the Group menu (it’s in the Arrange group), and then click Ungroup.
- In most cases, PowerPoint will ask you if you want to convert the image to a Microsoft Office drawing object. If so, click Yes.
- If PowerPoint has to convert the image to a Microsoft Office drawing object, repeat Step 2 to ungroup the drawing object. PowerPoint separates out the various shapes and selects them.
- Choose Animations, Custom Animation to display the Custom Animation task pane.
- Choose Add Effect, select an effect category, and then select an effect. PowerPoint applies the effect to every shape.
- Use the Custom Animation pane to apply a different effect property to each shape. For example, if you applied the Fly In effect, use the Direction list to apply a variety of directions to the shapes: From Bottom, From Left, From Top-Right, and so on.
- If you want the shapes to run at the same time (this is the default), click any shape effect in the Custom Animation pane, press Ctrl+A to select all of the shapes, and then use the Start list to choose With Previous.

When you apply an entrance effect to a placeholder that contains bullets, PowerPoint does not create a single effect for the entire placeholder. Instead, it sets up several sub-effects according to the following rules:
- Each first-level bullet gets its own effect.
- Each second-level bullet gets the same effect as its corresponding first-level bullet.
To make this clearer, take a look at the slide shown in Figure 1. The first main bullet (The importance of sunlight) has a 1 beside it, meaning that it displays with the first mouse click. The second main bullet (Keep a “light journal”) has a 2 next to i it, meanÂing that it displays with the second mouse click. Notice, however, that the second bullet’s sub-bullets also have 2s next to them. This means that when you click the second time, you see not only the second bullet, but also its sub-bullets. The fourth main bullet (Using light to pick plants) is set up the same way.

It’s nice that PowerPoint applies separate animation effects to the main bullets, but you might prefer that the sub-bullets display one at a time. In a typical animation, you click anywhere on the slide and PowerPoint applies the effect to the object associated with the animation. However, it’s also possible to set up the animaÂtion so that you have to click a particular object on the screen to initiate the effect for the animated element. The object you click to launch another object’s animation is called a trigger. For example, you can put a shape in the corner of the slide and set it up as a trigger so that the slide’s bullet points run their entrance effect only when you click that shape.
There are many uses for triggers. For example, in an interactive kiosk presentation that presents educational material, you can set things up so that a slide displays only certain material or moves on to the next slide only if the user clicks the “correct” part of the slide, which you’ve set up as a trigger. However, my favorite use for triggers is to help overcome an annoying limitation inherent in PowerPoint animations. That is, there’s no easy way to repeat an animation; when you click the slide, the animation runs, and that’s it. Yes, you can apply multiple effects to the same element, but that just gets messy, particularly when your other animated elements are on the same slide.
A good example that illustrates the usefulness of repeating animation is a slide in which you want to show both text and a large image. A typical slide isn’t likely big enough to show both at once, so you add two effects to the image: an entrance effect and an exit effect. This lets you click once to display the image when you’re ready for it and then click again to remove the image when you are done with it. Of course, as soon as the image is gone, an audience member asks to see it again. Unfortunately, with regular animation effects, the only way to do that is to move back to the previous slide, navigate ahead to the current slide, and run the animations from the beginning. This is not very professional, to say the least.

A transition is a visual (or auditory) effect applied to the entire slide and ends after the entire slide is displayed. By contrast, an animation is a visual effect applied to a specific slide object, such as the slide title, the bullet text, or an object such as an image or chart. For example, one highly useful (and so highly requested) visual effect is to display bullet points one at a time. To set that up, you create a custom animation that applies a visual effect to each bullet point.
You build a custom animation by adding effects to one or more slide elements. An effect is a visual flourish applied to the element. PowerPoint supports four types of effects:
- Entrance-These effects determine how the slide element enters the slide. Normally, each slide element displays immediately along with the rest of the slide. If you add an entrance effect to an element, however, the element displays after the slide, and usually it does not display until after you click the mouse. PowerPoint has nearly 50 different entrance effects.
- Emphasis-These effects enable you to emphasize an element by changing certain properties of the text. PowerPoint has 30 different emphasis effects, and they include applying bold or underline formats, changing the font size, adding color, and flashing the text.
- Exit-These effects determine how the slide element leaves the slide. These effects run when you navigate to the next slide. PowerPoint offers more than 50 exit effects.
- Motion Paths-These effects determine the path that the slide element follows when it enters the slide. The more than 60 motion paths offered by PowerPoint include geoÂmetric figures such as diamonds and trapezoids, various curves, and special paths such as a figure 1. You can also define a custom motion path by drawing it yourself.

A transition is a visual (and sometimes auditory) effect that plays during the switch from one slide to another. The most common transition is a fade, where the next slide begins as a black screen and then gradually displays. Similarly, in a push transition it appears as though the slide is being pushed onto the screen. PowerPoint 2007 comes with more than 50 preÂset transitions, and you can see them when you choose the Animations tab and click the More button in the Transition to This Slide group. Hover the mouse pointer over a transiÂtion, and PowerPoint demonstrates the effect on the current slide.
Most transitions occur silently, and that’s as it should be for the vast majority of presentaÂtions. However, there are times when you want a sound effect to accompany a particular transition, such as:
- A slide that announces a major new product or service might transition with a drum roll.
- A transition to a slide containing a photo might be accompanied by a camera shutter that clicks.
- The transition to the last slide in the presentation might merit an applause effect (if only to encourage your audience to follow suit).
- A presentation to young children might add a variety of sound effects-chimes, exploÂsions, lasers, wind, and so on-to keep the youngsters engaged.

You can create simple handouts in PowerPoint to go along with your presentations. However, if you want to spruce up the handouts, you need the more powerful text and paragraph formatting available in Word. Here are the steps to follow to export your handÂouts to Word so that you can format the text:
- In PowerPoint, choose Office, Publish, Create Handouts in Microsoft Office Word. The Send To Microsoft Office Word dialog box displays, as shown in Figure 1.
- Click the page layout you want to use.
- Activate the Paste Link option.
- Click OK. The presentation displays in Word.
- Add, edit, and format your handout text.

Previous versions of PowerPoint come with a Summary Slide feature that creates a slide titled “Summary Slide” at the end of the presentation, and, for each selected slide, it includes a bullet with the slide title. It is a handy and easy method for creating a bare-bones summary of your presentation.
Alas, that feature is not included in PowerPoint 2007. Not to worry, though, because the VBA procedure shown in Listing 1 performs the same function. Before running this proÂcedure, use the Navigation pane or Slide Sorter view to select the slides that you want to include in the summary.
