Outlook 2007 comes with a new feature called the To-Do Bar that gives you at-a-glance access to the Date Navigator, your next three appointments, and a list of your pending tasks. The To-Do Bar is a welcome replacement for the TaskPad in previous versions of Outlook, not only because it shows more information, but also because it’s far more cusÂtomizable:

When you create an appointment and need to enter a date in the Start Time field, what do you do if you want the appointment to occur on, say, the first Monday in August? Typically, most people pull down the Start Time calendar control, scroll ahead to August, and then click the first Monday. That works fine, but you may not know that Outlook also enables you to type the following in the Start Time text box:

Outlook understands such natural-language dates and converts them to actual dates (and times). If today is Thursday, August 23, for example, and you type next fri in a date box, Outlook will enter Friday, August 31 as the date. Similarly, if you type noon in a time box, Outlook automatically converts it to 12:00 PM.
Outlook’s capability to understand natural-language dates and times is called AutoDate. Here are some AutoDate examples that should give you some idea about what this feature can do:
- AutoDate converts yesterday, today, and tomorrow into their date equivalents.
- You can shorten day names to their first three letters: sun, mon, tue, wed, thu, fri, and sat. (Notice, too, that case isn’t important.) You can also shorten month names: jan, feb, mar, apr, may, jun, jul, aug, sep, oct, nov, and dec.
- To specify a date in the current week (Calendar’s weeks run from Sunday through Saturday), use the keyword this (for example, this fri).
- To specify a date from last week or last month, use the keyword last (for example, last aug).
- To specify a date in the next week or month, use the keyword next (for example, next sat).

It’s often handy to print out a blank calendar for a particular month. For example, you might want to pin the calendar to a company bulletin board so that people can write in appointments or events. Unfortunately, it’s likely you won’t be able to print a blank monthly calendar directly from your Outlook Calendar because it’s probably filled with appointments and events. However, it’s possible to create a second Calendar folder and then print directly from that.
First, here’s how you create the blank Calendar folder:
- Switch to Month view and display the month you want to print. (For a blank day or week calendar, switch to the appropriate view and display the day or week you want to print.)
- Choose File, New, Folder (or press Ctrl+Shift+E). The Create New Folder dialog box displays.
- Type a name for the new folder (such as the month and year).
- Make sure that Calendar Items is selected in the Folder Contains list.
- Click OK.

By default, Outlook doesn’t display holidays in any Calendar view. This is problematic because you often need to know when holidays occur so that you can avoid scheduling appointments on those days and so you can plan other events such as family vacations. Holidays are country-specific, of course, so Outlook arranges holidays by country, with nearly 90 nations represented in all. You’ll certainly want to add the holidays for your own country, but you’re also free to add holidays from other countries, too. This is a good idea if you regularly deal with colleagues or clients in another country or if you’re planning a trip to another country.
Follow these steps to add holidays to the Outlook Calendar:
- Choose Tools, Options. Outlook opens the Options dialog box.
- In the Preferences tab, click Calendar Options. Outlook opens the Calendar Options dialog box.
- Click Add Holidays. Outlook opens the Add Holidays to Calendar dialog box.
- For each country’s holidays that you want to add to the Calendar, click to activate its check box. (In most Outlook installations, the check box for your country is activated by default.)
- Click OK. Outlook adds the holidays and returns you to the Calendar Options dialog box.
- Click OK to return to the Options dialog box.

The times you see in the Day and Week views are geared to your current time zone, natuÂrally enough. Outlook gets the current time zone from Windows, so if you change your Windows time zone setting, Outlook will also change its time zone.
It’s often advantageous to view a second time zone alongside your own. For example, if you’re in the Eastern time zone and you regularly communicate with people in the Pacific time zone, it’s useful to be able to see the Pacific time alongside Eastern time when you’re making appointments. Similarly, if you have colleagues in Europe or you’re never quite sure what time it is in Arizona, displaying the appropriate time zone in Calendar can help.
Here are the steps to follow to add a second time zone to Calendar’s Day and Week views:
- Switch to the Day or Week view (or the Work Week view) if you haven’t done so already.
- Right-click the time display and then click Change Time Zone. Outlook opens the Time Zone dialog box.
- In the Current Windows Time Zone group, use the Label text box to type a label for your time zone. This label displays at the top of the current time zone. (Specifying labels for the time zones is good because it enables you to tell at a glance which time zone is which.)
- Click to activate the Show an Additional Time Zone check box.
- In the Additional Time Zone group, use the Label text box to type a label for the secÂond time zone.

In Calendar’s Day and Week views, the left side of the grid displays the hours of the day, divided into half-hour segments. This enables you to easily create appointments or meetÂings that begin on the hour or on the half hour. However, if you regularly set up appointÂments at other times-for example, at 15 minutes past or 15 minutes to the hour-then the half-hour time scale is a problem because you then have to adjust the appointment start time.
To avoid this extra work, you can tell Outlook to display a finer time scale that breaks down each hour into smaller segments, such as 15 minutes, 10 minutes, or even 5 minutes. On the other hand, if you mostly set appointments for the top of the hour, you can see more hours at a time in the Calendar grid by using a 60-minute time scale.
Here are the steps to follow to customize the time scale:
- Right-click the Calendar grid and then click Other Settings. Outlook opens the Format Day/Week/Month View dialog box.
- Use the Time Scale list to click the scale you prefer: 60, 30, 15, 10, 6, or 5.
- Click OK.

When you’re in Day or Week view, a quicker way to change the time scale is to right-click the time display on the left side of the Calendar grid and then click the time scale you want (such as 60 Minutes or 15 Minutes).

When you click Calendar in the Navigation pane, Outlook displays a calendar grid for today’s date. If you want to view or work with some other date, you click that date in the Date Navigator (the calendar or calendars that display at the top of the Navigation pane). Whichever date you click, Calendar just shows a grid for that date. This is the Day calenÂdar, and it’s Calendar’s default view. However, Calendar has other views that show multiple days, and you can easily create custom views that show as many days as you want.
Outlook comes with several predefined views, and these give you the simplest ways to change the number of days displayed in the Calendar grid:
- Choose View, Work Week (or press Ctrl+Alt+2) to switch to the Work Week view, which shows Monday to Friday for whatever date was selected in the Date Navigator. (An alternative method is to display the Week view, discussed next, and then click the Show Work Week option.) By default, Outlook opens with the Inbox folder displayed, which makes sense because most people use Outlook primarily for email. If most of your Outlook time is spent in the Calendar, instead, you might prefer to display the Calendar folder automatically at startup. Here’s how to do it:
- Choose Tools, Options. Outlook opens the Options dialog box.
- Select the Other tab.
- Click Advanced Options. Outlook opens the Advanced Options dialog box.
- Click Browse. Outlook opens the Select Folder dialog box.
- Select the Calendar folder.
- Click OK to return to the Advanced Options dialog box.
- Click OK to return to the Options dialog box.
- Click OK to put the new setting into effect.

These days, it’s not uncommon for Outlook users to spend equal amounts of time in both the Inbox and Calendar folders. Rather than continually switch from one to the other in the main Outlook window,you can display a second Outlook window.This enables you to leave,say,the Inbox folder open in the first window and have the Calendar folder open in the second window.To set this up, right-click Calendar in Outlook’s Navigation pane and then click Open in New Window. Note, too, that if you leave the second window open when you exit Outlook, the program “remembers” that you had a second window open and will automatically open it again the next time you start Outlook.

The busier your email life is, the larger your Outlook mailbox gets. Having a massive mailÂbox not only makes it hard to find the messages you want, it also slows down Outlook’s performance. To avoid these problems, use the Mailbox Cleanup tool to delete old or large items, archive items, and clean out the Deleted Items folder. To display this tool, choose Tools, Mailbox Cleanup. If you use Outlook to exchange messages containing confidential data, such as trade secrets, budget plans, payroll details, or proprietary information, the data might be vulnerable to snooping if you leave your desk. You can prevent this by storing the confidential messages in a folder protected by a password, but, unfortunately, Outlook doesn’t give you any way to do this. Fortunately, it’s fairly easy to set up a password-protected folder using some VBA code.
In the Visual Basic Editor, double-click ThisOutlookSession to open the module and then add the following global variable to the top of the module:

This enables you to trap events for the Explorer object, which represents the Outlook interface. In particular, you want to trap the BeforeFolderSwitch event. This event fires when the user tries to display a different folder. The idea is that because this event fires before the other folder is displayed, you can use the event handler to ask the user for a password. If the correct password isn’t given, you cancel the folder switch.
