By default, bar chart data markers use a solid fill. That’s usually the effect you want because a solid fill makes it easier to compare markers and analyze the data presented in the chart. On the downside, solid-fill data markers don’t compare well when printed on a black-and Âwhite laser printer, and they are, well, dull. For a different twist to your bar charts, you can replace the data markers’ solid fills with graphic images, such as clip art pictures or graphics files on your computer. By default, Excel stretches the image according to the number that the marker represents. This tends to distort most images, so it’s better to stack the image, which means that Excel uses multiple copies of the original image to fill in each data marker. (The bigger the marker, the more copies Excel uses to create the stack.)

When you plot numeric data, it is useful if you can get an indication on the chart where the average value lies. (I use the average in this section, but you can easily apply the techniques I show you here to other values such as the median or mode.)

Probably the easiest way to do this is to create an entirely new data series where each value is the average of the series you want to analyze. For example, in Figure 1, you see a workÂsheet that has stock closing prices in column B. I’ve added a new column for the average in column C. Here are the steps you need to follow to insert the average values:

Select the entire range into which you want to add the average values (in Figure 1, this is C3:C24).
Type (but don’t confirm) the AVERAGE() function formula, making sure that you use absolute cell references for the data you want to average (in Figure 1, we average the range $B$3:$B$24).
When you are ready to confirm the formula, press Ctrl+Enter. Excel adds the same formula to all the selected cells.

TIP

You can use a similar technique to plot standard deviation lines, which are lines that represent valÂues that are one standard deviation above and below the average. For the values one standard deviation above the mean, press Ctrl+Enter after the formula, as shown in the following:
=AVERAGE($B$3:$B$24) + STDEV($B$3:$B$24)
The formula for the values one standard deviation below the mean is similar:
=AVERAGE($B$3:$B$24) – STDEV($B$3:$B$24)

It’s often handy to include worksheet text in a chart. For example, if the underlying worksheet has a title, you might also want to use that text as your chart title. Similarly, you might have a worksheet value that’s related to the chart, such as an average of the values in a series, and you might want to include that value as part of the chart title or the value axis title. You can simply edit the appropriate chart object’s text by hand to include the value. However, if that value is subject to change (particularly if it’s a

calculated value such as an average), then you need to always update the chart object by hand. Ideally, it is great to use a method whereby the chart text gets updated automatically whenever the worksheet text changes.

In previous versions of Excel, you can do this quite easily by linking a chart text object to a worksheet cell. You do this by selecting the chart text object, typing an equals sign (=) to let Excel know that you want to enter a formula, clicking the worksheet cell containing the text you wanted, and then pressing Enter to confirm the formula. Alas, that easy and straightforward method was dropped in Excel 2007, which now treats chart text objects as pure text boxes that cannot include formulas.

Fortunately, there’s a way to work around this limitation using a bit of VBA code that takes advantage of the fact that chart text objects have a Text property. The idea is that you use VBA to set an object’s Text property equal to the value of a worksheet cell. For example, the chart title corresponds to the ChartTitle object, so you modify the ChartTitle.Text property.

When analyzing a data set, it’s often handy to rank where a certain value falls within the data. Excel has functions that enable you to calculate both the ordinal and percentage rank of each value in a set.

For the ordinal (first, second, third, and so on) rank, you use the RANK() function:

RANK(number, ref[, order])

number The number for which you want to find the rank.

ref A reference, range name, or array that corresponds to the set of values in which number will be ranked. (Note that ref must include number.)

order An integer that specifies how number is ranked within the set. If order is 0 (this is the default), Excel treats the set as though it was ranked in descending order; if order is any nonzero value, Excel treats the set as though it was ranked in ascending order.

For example, if a test result is in cell C3 and the full results are in the range C5:C35, then the following formula returns the ordinal rank of the test result:

=RANK(C3, C5:C35)

The ordinal rank is only occasionally useful. In data analysis, you’re more likely to work with the percentage rank. This is useful when you want to know what value in the set corÂresponds to what percentile. For example, if you want to know what test scores fall in the top 10 percent, you’d calculate the 90th percentile, and every score above that is in the top 10 percent. To calculate the percentage rank, you use the PERCENTILE() function:

Data analysis is often more about the relationships between values in a range than it is about the values themselves. For example, in a table of sales where one product sells 600 units and another sells 300, you might be interested only in the fact that the former sold twice as much as the latter, regardless of the actual sales. Excel 2007 comes with a new tool that enables you to quickly and easily perform these kinds of relative analyses: data bars. Data bars are colored, horizontal bars that display “behind” the values in a range. Their key feature is that the length of the data bar that displays in each cell depends on the value in that cell: the larger the value, the longer the data bar. The cell with the highest value has the longest data bar, and the data bars that display in the other cells have lengths that reflect their values. (For example, a cell with a value that is half of the largest value has a data bar that’s half as long as the longest data bar.)

To apply data bars to the selected range, choose Home, Conditional Formatting, Data Bars, and then choose the color you prefer. Figure 1 shows a worksheet of product sales, with data bars applied to the values in the Units column.

Excel configures its default data bars with the longest data bar based on the highest value in the range and the shortest data bar based on the lowest value in the range. However, what if you want to visualize your values based on different criteria? With test scores, for example, you might prefer to see the data bars based on values between 0 and 100 (so for a value of 50, the data bar always fills only half the cell, no matter what the top mark is). Another of Excel’s new conditional formatting rules is the top/bottom rule, which applies a format to cells that rank in the top or bottom (for numerical items, the highest or lowest) values in a range. You can select the top or bottom either as an absolute value (for example, the top 10 items) or as a percentage (for example, the bottom 25 percent). You can also apply formatting to those cells that are above or below the average. To create a top/bottom rule, begin by choosing Home, Conditional Formatting, Top/Bottom Rules. Excel displays six choices:

Top 10 Items Choose this command to apply formatting to those cells with values that rank in the top X items in the range, where X is the number of items you want to see (the default is 10).

Top 10% Choose this command to apply formatting to those cells with values that rank in the top X percentage of items in the range, where X is the percentage you want to see (the default is 10).

If you store a large amount of data in a worksheet, all the numbers tend to look the same after a while, which is a problem if part of your data analysis involves looking for values that are exceptional in some way. For example, suppose you have a worksheet that lists the 2006 and 2007 sales by sales reps and also calculates the percentage increase or decrease, year over year. As part of your analysis, you might be interested to know which reps sold less in 2007 than in 2006. You can just try eyeballing the negative values, or you can sort the list so that the negative values display at the top.

Excel 2007 gives you another way to analyze thins kind of data: You can highlight with speÂcial formatting those cells that have values above or below another value that you specify. Here’s how it works:

Select the range that has the values with which you want to work.

Breaking even is always nice, but profits are even better, so you might want to use Excel to optimize profits. In this case, I’m using the word optimize not in the sense of “maximize,” but in the sense of “reach a predetermined level of.” For example, in your budgeting for the next fiscal year, you might set a goal of $100,000 in profit for a product or division. If you use a single product model like the one I used in the previous section, then you can optimize profits by using Goal Seek: You set your target cell value (Total Profit) to the profit level you want, and then you set up either the price or the number of units as the changing cell.

This method works for a single product, and you can also apply it to multiple products, where you set up a model for each item and then run Goal Seek on each model. However, in the real world, two (or more) products don’t exist in a vacuum. For example, there is cost savings associated with each product because of joint advertising campaigns, combined shipments to customers (larger shipments usually mean better freight rates), and so on. To allow for this, you need to reduce the cost for each product by a factor related to the numÂber of units sold by the other product. In practice, this is difficult to estimate, but to keep things simple, I use the following assumption: Given two products, the costs for each prodÂuct are reduced by $1 for every unit sold of the other product. For instance, if the product A sells 10,000 units, the costs for product B are reduced by $10,000.

When you’re analyzing costs and sales for a new product, perhaps the most basic analysis you can perform is to calculate the break-even point. This is the point at which revenue genÂerated by the product equals the costs associated with manufacturing and selling the prodÂuct. You usually approach a break-even analysis in one (or both) of two ways:

If you already know the price you want to charge for the product, then you calculate the number of units you must sell to break even.
If you have a target for the number of units you want to sell, then you calculate the price you must charge per unit to break even.

In both cases, you set up a worksheet model that calculates the profits made by the prodÂuct. Figure 1 shows an example of a profit model. Total Revenue (cell C6) is calculated by multiplying the units by the price per unit, and then taking off the average custom disÂcount. Total Costs (C10) is calculated by multiplying the cost per unit by the number of units sold and adding on the fixed costs. Total Profit is just the difference between Total Revenue and Total Costs. In what-if analysis, a particular set of input values that you plug into a model is called a sceÂnario. Because most what-if worksheets can take a wide range of input values, you usually end up with a large number of scenarios to examine. Instead of going through the tedious chore of inserting all these values into the appropriate cells, Excel has a Scenario Manager feature that can handle the process for you.

As you’ve seen in this chapter, Excel has powerful features that enable you to build sophisÂticated models that can answer complex questions. The problem, though, isn’t in answering questions, but in asking them. For example, Figure 1 shows a worksheet model that anaÂlyzes a mortgage. You use this model to decide how much of a down payment to make, how long the term should be, and whether to include an extra principal paydown every month. The Results section compares the monthly payment and total paid for the regular mortgage and for the mortgage with a paydown. It also shows the savings and reduced term that result from the paydown.
