Viewing Another User’s Shared Folder in Outlook 2007

MS Office Tuneup - Microsoft OutlookEarlier in this chapter you learned how to share a folder with permissions and with dele­gate access. If another Microsoft Exchange user has given you share permissions or dele­gate access, you can view the shared folder anytime you like. Here are the steps to follow:

  1. Choose File, Open, Other User’s Folder to display the Open Other User’s Folder dia­log box.
  2. Type the name of the person who shared the folder. If you’re not sure, click Name, use the Select Name dialog box to click the user, and then click OK.
  3. In the Folder Type list, click the type of folder you want to access.
  4. Click OK. Outlook displays the shared folder.

TIP

For the Calendar, Contacts,Tasks, Notes, and Journal folder, you can also click the Open Shared Folder link in the Navigation pane, where Folder is the type of folder (for example, Open Shared Calendar).

Figure 1 shows Outlook with another person’s Calendar folder open alongside the cur­rent user’s Calendar. Note that the other person’s Calendar appears in the Navigation Pane in the People’s Calendars section, so you can easily toggle the calendar on and off by acti­vating and deactivating its check box. (A check box for the user’s shared folder displays in the Navigation Pane for all nonmessage folders.)

      Someone shared his email files with me and I can’t figure out how to view them. The “other user’s folder” is not highlighted therefore I can’t click on it (under File and Open)

      To clear the folders that you have opened in the past..
      Right click against the folder and there is a option “Delete folder name”.Click that and the folder which you have opened in the past is deleted

      I’ve not been able to view other users folder that was beneath the Inbox. I’ve given reviewer permissions to all the folders and Mailbox. All Outlook will display is the other users Inbox, nothing beneth it.

      To view another user’s folder when using Outlook 2007:
      1. On the tools menu, click on “account settings”.
      2. “Email Accounts” displays. On the “email” tab, click on the entry with your name and click the “change” button.
      3. On the next screen, click on “more settings” near the bottom right of the window.
      4. Select the “advanced” tab. In the “mailboxes” area of the tab, click “add”.
      5. Type the name of the user whose folder you want to view.
      6. Click “OK”.
      7. Click “OK”.
      8. Click “next”.
      9. Click “finish”.
      10. Click “close”.
      The person’s name who owns the folder will display alphabetically in the list on the navigation pane. You might need to scroll up or down relative to your name to locate his/her name. Then expand the person’s mailbox to see the folder you have permission to view. Worst case, you might have to exit Outlook and then restart it to see the folder owner’s mailbox and folder. BTW, you will only see the folder(s) to which the folder owner has given you permission to read. This is different from being a delegate to someone’s inbox.

      I understand how to view another user’s folder, but in previous versions of Outlook, you could add their shared folder to your navigation pane. I can’t figure out how to do that in Outlook 2007. Can you help with this?

      How do I access a shared email account from the mail folders list w/i my own email? I am able to do this with other’s. My co-worker has the ability to view the same shared email account that I’m having issue with from his mail folders. I was able to view the shared email account from my mail folders view in the past.

      When I open shared calendars they appear under ‘People’s Calendars’, but after I’ve restarted my PC and open Outlook 2007 again, the list has been depopulated, i.e. not saved – maybe to do with the fact that we’re still using 2003 exchange server?

      Is there any way of having a folder and it’s subfolders shared so another user can see all of subfolders and toggle between them without having to search each folder individually?
      Also, if I were to be viewing a shared folder, could I then move e-mails to other subfolders of that shared folder? If so, how would I do that?

      My computer was being used by someone who had shared inbox folders which i would like to delete.

      Does anybody know how to display a shared sent items folder? My boss shared his sent items with me but I am unable to see that option in my account. There is not an option to open sent items in Open Other User’s Folder.
