Adding Page Breaks after Report Sections in Access 2007

Some reports are nothing but a continuous series of data-filled pages, with no relief in the form of white space anywhere in sight. This can be tiring to read, and it also means your report has no structure. Think of a book that’s one continuous chapter or an essay that’s one continuous paragraph. To make your reports easier on the eyes and brains of your readers, you should start different sections of the report (such as the report groupings) on a new page. You can configure your report with automatic page breaks by modifying each section’s Force New Page property. Here are the steps to follow:
- Open the report in Design view.
- Select the section you want to work with.
- Choose Design, Property Sheet to display the section’s property sheet.
- Display the Format tab.
- Use the Force New Page list to choose one of the following values:
- Before Section-Choose this option to force a page break before the section. This ensures that the section begins at the top of a new page.
- After Section-Choose this option to force a page break after the section. This ensures that the next section begins at the top of a new page.
- Before & After-Choose this option to force page breaks before and after the section. This ensures that the section appears on a page by itself.
- Close the property sheet.
- Print preview the report to confirm that each section is formatted the way you want.
Note, too, that you can also add a page break by hand by inserting a Page Break object in the report. A Page Break object tells the printer to start a new page no matter how much of the current page is filled. In the report Design view, the Controls group includes a Page Break button that enables you to insert a page break anywhere within the report. This capability is useful when you need to break down a particular section into two or more subÂsections. For example, you can insert a page break into the Report Header section and thus divide the header into two separate pages. You can use the first page for the report title and possibly the company logo, and you can use the second page to provide the reader with an introduction to the report or instructions for interpreting the report data.
Follow these steps to insert a page break into your report:
- Choose the Design tab.
- In the Controls group, click the Insert or Remove Page Break button.
- Click inside the report at the spot where you want the page break to display. Access displays six dots to mark the page break location.
