When a person reads a report, one thought that’s always in the back of (or, often, right in the front of) his mind is, “How current is this data?” Nobody wants to waste time looking at data that’s out-of-date or no longer relevant because it’s not current. If the report uses date-related data, it helps to include those dates in the report. If that’s not possible, the next best thing is to add a label that says something like, “This report printed on,” and then, next to it, insert the current date (the Report Header and Report Footer are good locations for the date). This information tells the readers when the report was published so they know at a glance which version of the report they’re reading or how old the data is.
Follow these steps to add the date to the report:
- Choose Design, Date & Time. Access displays the Date and Time dialog box.
- To add the date, leave the Include Date check box activated and then click an option button to choose the desired date format.
- To add the time, as well, leave the Include Time check box activated and then click an option button to choose the desired date format.
- Click OK. Access adds the date and/or time controls to the Report Header.
- Move and format the date and time controls, if necessary.
NOTE
Access displays the date and time using the Date()and Time()functions to build calculated controls.This means the values of these controls change every time the report is previewed.This doesn’t matter for a printed report, but it might not be what you want in a report distributed electronically. In that case, you need to use a label to enter the date and time manually.
