Changing the Document Map Formatting in Word 2007

mswordtweak.pngIf you often create or work with long documents, you’ve probably discovered one of Word’s most useful document navigation features: the document map. This is an aspect of the Navigation Window, a pane that appears on the left side of the Word window. When you display it by activating the View, Document Map check box, Word populates the Navigation Window with all your document’s Heading styles, as shown in Figure 1. You can jump to any section of your document just by clicking its heading in the document map.

You have a bit of control over what appears in the document map. Right-click the Navigation Window, and then click the highest Heading level you want to show. Unfortunately, the shortcut menu that appears gives you no option for formatting the doc­ument map. This is a real problem if you find the document map too small to read (the default font is 8-point Tahoma) or if (as sometimes happens) the document map font becomes spontaneously large. (Actually, the latter is a bug in Word 2003. So far, I haven’t seen this bug appear in Word 2007.) Fortunately, Word has a Document Map style that controls the look of the document map text. Follow these steps to modify this style:

  1. In the Home tab, click the Styles dialog box launcher (or press Ctrl+Alt+Shift+S) to open the Styles pane.
  2. Click the Manage Styles button. Word opens the Manage Styles dialog box.
  3. Click the Edit tab.
  4. In the Select a Style to Edit list, click Document Map.
  5. Click Modify to open the Modify Style dialog box.
  6. Make your changes to the formatting, and then click OK.
  7. Click OK.
