One task that can really slow you down is having to change a particular set of formatting options in many different places in a document. For example, if you’ve applied a bold, underlined, Times New Roman font to every instance of a book title throughout a document, you may decide later that you’d prefer each instance to use an italic, Verdana font, instead. Reformatting two or three instances of the text isn’t so bad, but tweaking a dozen or two is nobody’s idea of fun.
To make this kind of chore easier, Word enables you to select every instance of a particular kind of formatting-it can be a style or a combination of font or paragraph formatting- within a document. With every instance selected, you can then apply new formatting, and Word will update the selected instances.
To select similar formatting throughout a document, you have two choices:
- For a style, right-click the style in either the Quick Style Gallery or the Styles pane (click the Styles dialog launcher or press Ctrl+Alt+Shift+S) and then click Select All X Instance(s) (where X is the number of times you’ve applied the style in the document).
NOTE
If you want to remove all instances of a particular style in your document, right-click the style in either the Quick Style Gallery or the Styles pane, and then click Clear Formatting of X Instance(s)
(where X is the number of times the style appears in the document).
- For font or paragraph formatting, right-click any instance of the formatting and then choose Styles, Select Text With Similar Formatting.
Getting a good computer education could definitely help you with your formatting issues. Many people with a modern college education have had some training with computers, even if it has only been with school management software or programs.
