Earlier in this chapter, I showed you how to use a no-duplicates index to make sure that a particular field contains only unique values (see “Ensuring That No Duplicate Values Appear in a Field”). On a larger scale, you might be worried instead about having entire records that are duplicates. This might be an order that was entered twice or an import operation that appends records that already exist in the table. If the table doesn’t have an AutoNumber field or a no-duplicates index on a field, then Access does not prevent the duplicate record or records from being entered.
In such cases, a Find Duplicates query can locate these records for you. This query displays a list of a table’s duplicate entries (if it has any). You can then either edit or delete one or more records to remove the duplication.
The Find Duplicates Query Wizard sets everything up for you by taking you through the following steps:
- Choose Create, Query Wizard to open the New Query dialog box.
- Click Find Duplicates Query Wizard and then click OK. Access launches the Find Duplicates Query Wizard.
- Click the table you want to use and then click Next.
- In the Available Fields list, for each field you want to check for duplicate data, click the field and then click > to add the field to the Duplicate-Value Fields list. When you are done, click Next.
- In the Available Fields list, for each other field you want to include in the query, click the field and then click > to add the field to the Additional Query Fields list. When you’re done, click Next.
- Type a name for the query.
- Click Finish. Access runs the query and displays the resulting dynaset.
