Applying Colors to Messages from Specific Senders in Outlook 2007
Microsoft Outlook, Tips & Tricks Add comments
As I mentioned in the previous section, as the Inbox message list fills up, it quickly turns into an undifferentiated mass of text. Applying different categories helps, but if you really want messages to stand out, Outlook gives you another tool: applying a color to messages that come from a particular person. This is handy if you are on the lookout for messages from that person, especially if you operate a busy Inbox. By showing that person’s message in, say, a red font, you can tell at a glance if you have received messages from that person.
Follow these steps to color messages from a particular person:
- In the Inbox message list, click a message from the person whose message you want to color. (You can skip this step if you don’t currently have a message from that person.)
- Choose Tools, Organize. Outlook displays the Ways to Organize Inbox pane.
- Click Using Colors to display the controls shown in Figure 1.
- If you didn’t select a message in Step 1, use the Color Message From text box to type the name of the person. (Note that Outlook looks at the From field to decide whether to apply the color to a message.)
- Use the Color Messages From…In list to click the color you want to apply to the perÂson’s messages.
- Click Apply Color. Outlook applies the color to all the person’s messages.
- Click Close (X) to close the pane.

Figure 1 Click Using Colors and then use the controls to apply a color to a sender’s messages.
TIP
You don’t have to type the person’s full name. If you just type a partial name, Outlook applies the color to any message where the From field contains the partial name. Note, too, that it doesn’t matter if you type the name using the First Last format (for example, Paul McFedries) or the Last, First format (for example, McFedries, Paul); Outlook still matches the name no matter which format displays in the From field.

Thanks! I didn’t read the whole thing, but I was having a hard time finding the “Tools>Organize” option, to even get started. This works great!
