AutoCorrect entries are usually static. That is, you specify the error and its correction, and then whenever Word comes across the error, it replaces it with the correct text. However, there may be times when you want the correct text to be more dynamic. For example, it’s easy to set up an AutoCorrect entry that replaces your initials with your name. But what if you want to set up an AutoCorrect entry that inserts the name of the author of the current document? You can do that by inserting the Author field and then setting up an AutoCorrect entry for that field. Here are the steps to follow for the document author example:
- Select where you want the field to appear in the document.
- Choose Insert, Quick Parts, Field to display the Field dialog box.
- In the Categories list, click (All).
- In the Field Names list, click Author.
- Click OK. Word inserts the field.
- Select the entire field.
- Choose Office, Word Options, click Proofing, and then click AutoCorrect Options to display the AutoCorrect dialog box.
- Select the AutoCorrect tab. Your field result displays in the With text box.
- In the Replace text box, type a short abbreviation or code (for example, author).
- Click Add.
- Click OK and then click OK again in the Word Options dialog box.
You use similar steps to set up dynamic AutoCorrect entries that include the current date (insert a Date field), any document property (insert a DocProperty field and specify the property you want), the file name (a FileName field), the file size (a FileSize field), and the current time (a Time field), to name a few. For the ultimate dynamic AutoCorrect entry, include a Fill-in field (see the previous section) as part of the correction text. In this case, when Word goes to insert the AutoCorrect text, it displays the Fill-in field dialog box to prompt for whatever input you request.
