It’s often handy to generate account numbers for your customers. If you have many cusÂtomers, you probably don’t want to do this by hand, however. One simple way to generate an account number is to simply take the first n characters in the customer’s name and conÂvert them to uppercase letters. For example, if you have a customer name in cell A2, the following formula generates a five-character account number:
=UPPER(LEFT(A2, 5))
Here, the LEFT() function extracts characters from the left of the value in A2, and the UPPER() function converts them to uppercase.
That’s fine, but what if you have customer names that share the first five characters? Or, even trickier, what if you have customer names where the first five characters include one or more spaces, periods, dashes, or foreign characters? In other words, what you really want to do is generate a unique account number that includes only the characters a through z and A through Z. To do this, we need to turn to VBA. The function shown in Listing 5.1 generates such an account number.
A VBA Function That Generates an Eight-Character Account Number Based on the Customer Name
Function GenerateAccountNumber(strName As String) As String
| Dim nPos As Integer | ‘ The current character position within strName |
| Dim strChar As String | ‘ The current character within strName |
| Dim strTemp As String | ‘ The temporary account number |
Application.Volatile False ‘ Don’t recalculate ‘ ‘ Initialize the variables ‘
Generating Account Numbers
nPos = 1 strTemp = “” ‘ ‘ Run through the characters in the customer name ‘ Do While nPos <= Len(strName)
‘ ‘ Get the character in the position given by nPos ‘ strChar = Mid(strName, nPos, 1) ‘ ‘ Check the character value ‘ Select Case Asc(strChar)
‘ ‘ Between A and Z ‘ Case 65 To 90
strTemp = strTemp & strChar ‘ ‘ Between a and z ‘ Case 97 To 122
strTemp = strTemp & UCase(strChar) End Select ‘ ‘ If the text part of the account number is ‘ 5 characters long, exit the loop ‘ If Len(strTemp) = 5 Then Exit Do nPos = nPos + 1
Loop ‘ ‘ Check for failure ‘ If strTemp <> “” Then
‘ ‘ If the account is good so far, add a random 3-digit number ‘ Randomize GenerateAccountNumber = strTemp & Format(Rnd * 999, “000″)
Else ‘ ‘ Otherwise, generate an error ‘ GenerateAccountNumber = “No account number generated!”
End If End Function
