Customizing the Inbox Message Fields for Outlook 2007

Instead of working with the message list fields directly, you can also use a dialog box to add and remove fields. Here’s how it works:

1. Choose View, Arrange By, Custom to display the Customize View: Messages dialog box.

2. Click Fields to display the Show Fields dialog box (see Figure 2).

3. Use the Select Available Fields From list to choose the message field category you want to use.

4. To add a field, click the field name in the Available Fields list and then click Add. The field displays in the Show Fields In This Order list.

5. To reorder the fields, click the field you want to work with in the Show Fields In This Order list and then click the Move Up and Move Down buttons.

6. To remove a field, click it in the Show Fields In This Order list and then click Remove.

7. Click OK to return to the Customize View: Messages dialog box.

8. Click OK.

Outlook also enables you to create custom fields where the displayed value is based on a formul that you build. Display the Field Chooser dialog box and click New. (Alternatively, display the Sho Fields dialog box and click New Field.) In the New Field dialog box, type a Name for the field an then use the Type list to select Formula.Type the formula into the Formula text box or click Edit t use the Formula Field dialog box, which offers lists of the available fields and functions. For example suppose you create a field named “Conference” and you want it to display “Yes” if the messag subject contains the word “Conference.” Here’s the formula to use:

IIf(Instr([Subject],”Conference”) <> 0, “Yes”, “”)

This formula uses the Instr function to see if the [Subject] field contains the wor Conference. If so, the word Yes is returned; otherwise, a blank string is returned.After you creat the field, it displays in the User-Defined Fields in Inbox category, and you can add it to th Inbox fields from there.
